Privacy Policy

1. Overview

This Privacy Policy explains how Seatingly collects, uses, stores, shares, and protects personal data when people visit our website, create or use an account, interact with our applications, submit a reservation or appointment through a Seatingly-powered booking experience, contact support, or otherwise use our services.

“Seatingly,” “we,” “us,” and “our” refer to the operator identified in the applicable order form, invoice, account documentation, or service agreement. “Customer” means an organization that uses Seatingly. “User” means a person who accesses or uses Seatingly, including account owners, team members, website visitors, and people who submit information through a booking experience.

2. Our role when processing personal data

Our role depends on how the data is collected.

  • When we process account, website, sales, billing, support, security, or product-usage data for our own operational purposes, Seatingly generally acts as a data controller or business.
  • When a Customer uses Seatingly to collect and manage guest, visitor, client, reservation, appointment, or communication data, the Customer generally decides why and how that data is used. In that situation, the Customer acts as the controller or business and Seatingly acts as its processor or service provider.

Questions about a reservation, appointment, cancellation, service, refund, venue policy, or a Customer’s use of personal data should normally be directed to the relevant Customer first.

3. Personal data we collect

Depending on how Seatingly is used, we may collect:

Account and identity information

Names, work email addresses, telephone numbers, job titles, usernames, account identifiers, authentication information, team roles, and organization details.

Business and configuration information

Business name, location, service information, opening hours, availability, table or resource settings, branding, booking rules, notification preferences, widget configuration, and connected locations.

Booking and guest information

Names, contact details, booking date and time, party size, selected service or location, guest notes, accessibility or preference information voluntarily provided, booking status, cancellation details, waitlist information, and communication history.

Customers decide which booking fields they enable and are responsible for ensuring that the information they request is lawful and necessary.

Communications

Messages sent to support, demo requests, feedback, survey responses, email correspondence, and other communications with Seatingly or through enabled service features.

Usage, device, and diagnostic data

IP address, browser and device type, operating system, referring page, pages viewed, approximate location derived from IP, timestamps, session activity, error reports, security events, and similar technical information.

Marketing attribution data

Referral source, campaign name, tracking parameters, booking source, campaign interactions, and related performance information used to measure which channels contribute to bookings.

Billing information

Subscription, invoice, plan, transaction, tax, and payment-status information. Payment card details may be collected and processed directly by an authorized payment provider. Seatingly should not store full payment card numbers unless a separately documented and compliant payment feature is introduced.

Cookies and similar technologies

We use cookies, local storage, and similar technologies as described in the Cookies Policy. Non-essential analytics and marketing technologies are controlled through the consent interface where consent is required.

4. How we use personal data

We may use personal data to:

  • provide, operate, secure, maintain, and improve Seatingly;
  • create and administer accounts and Customer workspaces;
  • process and organize reservations, appointments, waitlists, guest records, and related requests;
  • deliver transactional emails, notifications, reminders, and enabled communications;
  • configure and publish booking widgets and links;
  • provide customer support and respond to inquiries;
  • measure product performance, reliability, and usage;
  • attribute bookings to marketing sources and campaigns;
  • prevent fraud, abuse, unauthorized access, and security incidents;
  • manage subscriptions, invoices, payments, and account administration;
  • comply with legal obligations and enforce our agreements;
  • communicate product, service, or policy updates; and
  • send marketing communications where permitted, with an unsubscribe option.

Where AI-enabled features are used, data may be processed to organize information, assist workflows, generate suggestions, summarize activity, or support faster operational decisions. AI-assisted output should be reviewed by an authorized user before it is relied upon for an important decision or external communication.

5. Legal bases

Where the GDPR, UK GDPR, or a similar law applies, we rely on one or more of the following legal bases:

  • Contract: processing needed to provide requested services or take steps before entering a contract.
  • Legitimate interests: operating, securing, improving, and supporting Seatingly, measuring performance, preventing misuse, and communicating with Customers, where those interests are not overridden by individual rights.
  • Consent: optional analytics, marketing technologies, promotional communications, or another activity for which consent is requested.
  • Legal obligation: processing needed to meet tax, accounting, law-enforcement, regulatory, or other legal requirements.

A Customer is responsible for establishing its own lawful basis for the personal data it collects and manages through Seatingly.

6. How we share personal data

We may share personal data only as reasonably necessary with:

  • the Customer responsible for the relevant booking experience;
  • authorized users and locations within the Customer’s workspace;
  • hosting, database, infrastructure, authentication, security, email, messaging, support, analytics, payment, and other service providers;
  • professional advisers, auditors, insurers, and consultants;
  • authorities or other parties where required by law or necessary to protect rights, safety, and service integrity; and
  • a buyer, investor, successor, or relevant adviser in connection with a merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate confidentiality and data-protection measures.

Service providers may use personal data only for the contracted services and under applicable data-protection obligations. We do not sell personal data for money. Some analytics or advertising activities may be treated as “sharing” under certain privacy laws; where applicable, users can control those activities through Cookie Preferences or another required privacy control.

7. International data transfers

Seatingly and its service providers may process data in countries other than the country where it was collected. Where required, we use recognized safeguards for international transfers, such as adequacy decisions, approved contractual clauses, or another lawful transfer mechanism.

8. Data retention

We keep personal data only for as long as reasonably necessary for the purposes described in this Policy, including providing the services, maintaining security and audit records, resolving disputes, enforcing agreements, and meeting legal, tax, and accounting obligations.

Retention periods vary according to the type of data, Customer settings, the duration of the account, legal requirements, risk, and whether the information is needed for an active request or dispute. When data is no longer required, we delete it, anonymize it, or securely isolate it until deletion is possible.

Customers control many records stored in their workspaces and are responsible for applying retention settings and deletion decisions appropriate to their operations and legal obligations.

9. Security

We use technical and organizational measures intended to protect personal data against unauthorized access, alteration, disclosure, loss, and misuse. No internet-based service can guarantee absolute security. More information is available on the Data & Security page.

10. Privacy rights

Depending on location and applicable law, individuals may have the right to:

  • request access to personal data;
  • request correction of inaccurate data;
  • request deletion;
  • restrict or object to certain processing;
  • receive portable data;
  • withdraw consent without affecting earlier lawful processing;
  • opt out of certain targeted advertising, sale, or sharing;
  • limit certain uses of sensitive personal data;
  • appeal a decision about a privacy request; and
  • complain to an applicable privacy or data-protection authority.

We do not discriminate against a person for exercising an applicable privacy right.

If the request concerns data controlled by a Seatingly Customer, we may direct the requester to that Customer or assist the Customer in responding. We may need to verify identity and authority before completing a request.

11. Marketing choices

Marketing emails from Seatingly include an unsubscribe method. Transactional, security, billing, and account-related messages may still be sent when necessary to provide the service. Cookie and tracking choices can be changed through the Cookie Preferences link in the footer.

12. Children’s privacy

Seatingly is not directed to children. Customers and Users must not intentionally submit children’s personal data unless they have a lawful reason, provide an appropriate notice, and obtain any consent required by applicable law.

13. Third-party services

Seatingly may link to or integrate with third-party websites, platforms, payment providers, messaging services, and other tools. Their privacy practices are governed by their own policies. Customers should review those policies before enabling an integration.

14. Changes to this Policy

We may update this Privacy Policy to reflect changes in our services, practices, or legal obligations. We will update the date at the top and provide additional notice when a material change requires it.
